Running the Tee Sheet

A staff guide to the daily tee sheet — configuring courses and intervals, reading the color-coded grid, booking members and guests, and where pace-of-play shows up.

The tee sheet is the golf shop’s day. This guide covers how to set it up once, how to read it at a glance, and how the daily work — booking, check-in, cancellation — actually flows. Everything happens on the Tee Times page in the sidebar, which has two tabs: Tee Sheet (the daily grid) and Configuration (how the grid is built).

Setting up the sheet

The Configuration tab defines the shape of every day:

  1. Tee time interval — minutes between groups (e.g., 8 minutes).
  2. First and last tee time — the daily availability window, settable per day.
  3. Maximum players per group — default is 4.
  4. Booking window — how many days in advance members can book online.

Configuration changes take effect the next day — slots that are already booked are never affected, so you can safely retune intervals mid-season.

The course itself is defined under Settings → Tee Sheet: number of holes (9 or 18) and par settings, alongside the same interval and window parameters. ClubCore supports multiple courses, each with its own details — holes, par, slope/course rating and yardage — and slots track availability in real time across every booking channel.

Reading the grid

The Tee Sheet tab shows a daily grid of every time slot. Use the left/right arrows or the date picker above the grid to move between days. Slots are color-coded by status:

One glance tells you what the morning looks like: solid blue means a full sheet, green tells you who has actually arrived, gray trails off behind the turn.

Booking a tee time

  1. Click an open slot on the grid.
  2. Search for and select the member(s).
  3. Set the number of players (1–4).
  4. Click Book.

Bookings support members and guests, 9-hole and 18-hole rounds, and cart requests, and each booking carries a confirmation status — so the starter knows before the group shows up whether they’re walking or riding and how far they’re going.

Whether a member can book at all is governed by their status: each member status (Active, Suspended, Resigned, and any you define) carries a Book Tee Times permission switch, so a suspended account is turned away without staff having to remember who’s on the list.

Check in players: click a booked slot, then Check In — the slot turns green. Cancel: click the booked slot, then Cancel Booking and confirm.

Members book themselves

The tee sheet is multi-channel: the same slots are visible in the member portal, where members browse open times by date, book directly, review upcoming and past rounds, and cancel — no phone call to the shop required. Staff bookings and portal bookings draw from one live sheet with real-time slot tracking, so the shop and the portal are always looking at the same availability.

Advanced rules: windows, lottery, standing times

Clubs that want more control over who books when can switch on Advanced Tee Sheet Rules (Settings → Features), which adds a Tee Rules page with three tabs:

  • Priority Windows — how many days out each membership type may book, plus a club-wide default. Full Golf might book 14 days ahead while Social books 3; the member portal enforces the window at booking time.
  • Lottery — for high-demand dates, collect requests (course, date, preferred window, party size) instead of first-come-first-served. Priority derives automatically from membership type; Run lottery awards requests to open slots in priority order and marks the rest unfulfilled. An awarded request is canceled on the tee sheet like any other booking, not from the lottery.
  • Standing Times — recurring weekly bookings, like the Saturday 8:00 AM men’s group: day of week, preferred time, party size, start/end date, with pause and resume. Materialize places upcoming occurrences onto the sheet — up to 60 days ahead (14 by default).

Where pace-of-play shows up

Once groups are on the course, pace is tracked automatically — each group’s GPS position (via the cart tablets) is checked against per-hole checkpoints, and the group shows as on pace or behind, with minutes behind. You’ll see it in three places:

  • The Ops console (/ops) — the live course map shows every hole with cart positions and pace status, and groups that fall behind receive escalating automated reminders, from a gentle nudge up to a warning that the starter may check in.
  • The cart tablet itself — golfers see their current hole, pace status and time behind or ahead, which fixes most slow play before anyone radios anyone.
  • A tee-sheet pace overview — every group’s status at a glance for the shop.

Closing the loop

Tee-sheet activity feeds reporting without any re-keying: the dashboard’s Tee Bookings KPI tracks volume against your selected date range, and tee time utilization reports compare bookings against capacity so you can see which intervals, days and seasons actually fill.
