Using the Member Portal

The member-facing side of ClubCore — passwordless magic-link sign-in, booking tee times and dining, viewing your balance, transactions and invoices, family accounts, and tournament leaderboards.

The Member Portal is the self-service side of ClubCore — where your club’s members book tee times, reserve tables, check their account and follow tournaments from a phone, tablet or desktop browser. There is no app to install: members open the club’s portal URL, and can add it to their home screen for one-tap access.

Signing in — no passwords

The portal uses passwordless magic-link authentication:

  1. The member enters the email address on file with their membership.
  2. They tap Send Magic Link.
  3. A sign-in link arrives by email; clicking it signs them in. Links expire after 15 minutes — an expired link just means requesting a fresh one.

No passwords to remember means no password resets for your front desk to field. Signing out is one tap from the member’s name in the header.

Getting around

Navigation is a tab bar along the bottom of the screen:

Tabs for optional modules (racquet sports, lessons, documents and the individual services on the More tab) appear only if your club has turned that feature on — members never see menu items for services the club doesn’t offer.

Booking a tee time

On the Golf tab, the member picks a date and the tee sheet loads with every available slot for that day — each showing the time, how many openings remain, and who’s already booked in the group. Tapping Book confirms immediately and the member’s name appears in the slot.

  • Priority booking windows — at clubs that use them, how far ahead a member can book depends on their membership type. If a date hasn’t opened yet for their category, the portal tells them exactly when their window opens.
  • My Tee Times lists every upcoming round with date, time, course and hole count, each with a Cancel button (the club’s cancellation cutoff applies).

Reserving a table

The Dining tab shows the club restaurant with its hours. The member selects a date and party size, and available times appear in a grid — each slot showing how many seats remain, with slots too small for the party grayed out. Tapping a slot opens a confirmation form where the member can add special requests (dietary needs, celebrations, seating preferences) before confirming.

Confirmed reservations appear under My Reservations with the date, time, party size and assigned table, and land on the same reservation book your host stand works from — double-booking a table isn’t possible.

The Account tab

Five sub-tabs cover everything about the membership itself:

  • Balance — the current account balance with an aging breakdown (30 / 60 / 90 / 120+ days) and the date of the last statement. If the club accepts online card payments, a Pay Online button lets the member settle any amount through the club’s secure payment processor; card details are never stored by the portal.
  • Transactions — every charge and payment on the account, with description, date and category. Charges show in red, payments and credits in green — a round of drinks charged at the bar register shows up here automatically.
  • Invoices — each invoice with its status badge (Paid, Open, Draft or Void), a Pay Now button on open invoices, and a PDF download where available.
  • Profile — name, member number, membership type and status, join date and contact details on file.
  • Family — see below.

Family accounts

Memberships that include family members list each one on the Family sub-tab with their name, member number and role — primary or dependent. Charges made by family members roll up to the same account, so one balance, one statement and one payment cover the household.

Tournaments and leaderboards

The More tab lists the club’s active and upcoming tournaments with the date, format (stroke play, scramble, best ball and more) and entry fee where one applies. Tapping Scores on any tournament opens the live leaderboard — position, player and total score, updating as scores come in from the scorekeeper tablets and on-course carts. To enter a tournament, members contact the pro shop or tournament coordinator, who registers them in seconds from the admin side.
