Getting started with ClubCore

What ClubCore is, how a club is set up, and where to go next — an orientation for staff and administrators.

ClubCore is the all-in-one operating system for country clubs. Golf, food & beverage, member management, billing and true double-entry accounting all run on one platform, one database, and one login — so a charge rung up at the bar, a tee time booked in the portal, and the general-ledger entry behind them are the same data, not three systems stitched together.

Each club runs on its own dedicated, isolated instance. Member and financial data never mingles with another club’s.

Every module is included — there is no per-module licensing.

Signing in

Staff sign in to the admin interface at your club’s ClubCore URL. ClubCore supports a PIN-first pad for fast register logins, with a username/password fallback for administrators. After signing in you land on the Dashboard, which shows live KPIs: active members, revenue across every register, tee bookings and outstanding A/R.

Sign out at any time from the bottom of the sidebar.

A typical setup

  1. Club details & members — your members, balances and chart of accounts are brought across during onboarding (see the migration notes below).
  2. Member types & billing — configure member classes and their recurring charges so monthly statements generate automatically.
  3. POS & F&B — set up registers, departments and the menu, including modifiers and prep-station routing for the kitchen display.
  4. Tee sheet — define courses and daily tee-sheet templates.
  5. Staff & roles — add employees, assign roles and set PINs for the time clock and registers.

Each of these areas has a settings tab in the admin interface, and the Settings → General page includes a setup checklist and live system status.

Migrating from EZSuite

ClubCore is purpose-built to replace EZSuite and legacy club software — including the accounting module the incumbents are sunsetting. During onboarding we bring over your members, balances and chart of accounts, so the books have a home from day one.
