The host stand and the member’s phone read the same book.
One live reservation book for the club restaurant. The front desk answers the phone against it, members book themselves against it from the portal, and every booking gets a real table with the seats to fit — automatically, with double-bookings ruled out by design.
ClubCore doesn’t treat “7:00 pm” as a line in a ledger. It knows your tables, your seats, your hours and every booking already on the floor — and works out what’s actually left, slot by slot.
Your dining room, described once
Set it up the way the room actually runs: each table gets a name, a seat count and a location — dining room, patio, bar or private. Hours are configured per day of week, with a slot interval you choose, so Sunday brunch and Friday dinner each keep their own rhythm and closed days simply don’t offer slots. From then on, every availability check counts real seats against real bookings for that exact window.

Settings — tables, hours and seating configuration
Configured in Settings, enforced everywhere. Change a table’s capacity or Tuesday’s hours once, and the portal, the front desk and the availability math all follow — there’s no second place to update.
The smallest table that fits
When a booking lands, ClubCore walks your table list smallest-first and assigns the smallest free table that seats the party — so a couple never burns the eight-top and the eight-top is still there when the birthday dinner calls.
Double-bookings, refused
Before a table is assigned, its whole reservation window is checked for overlap against every other confirmed booking on that table — not just the start time. Two parties can’t hold the same table for the same seating, period.
Seatings, not open-ended holds
Each reservation carries a duration — 90 minutes by default, adjustable per booking — so a 6:00 table correctly comes back into availability for the 7:30 seating instead of blocking the whole evening.
Parties of one to twenty, self-serve
Members can book parties of up to 20 online, with their special requests attached. Anything bigger is deliberately steered to a phone call — a 40-top is an event, and your staff should hear about it from a person, not a notification.
Two doors, one book
The 7:00 slot can’t be given away twice
The classic failure at a club restaurant is two books: the one at the host stand and the one in someone’s head. ClubCore has exactly one — and both doors into it see the same live availability.
The front desk works the live book
A member calls, staff see tonight’s slots with seats remaining per time, take the booking and it’s on the floor plan instantly — table assigned, party size and requests captured, channel recorded as staff or phone.
Members book themselves from the portal
From the member portal, a member picks a night, sees the same slots the host stand sees, and books — party size, special requests and all. No call, no voicemail, no “let me check and call you back.”
A clean lifecycle, not a scribbled-out line
Every reservation moves through a real status workflow — confirmed · completed · cancelled · no-show — so a cancellation releases its table back into availability the moment it happens, and the night ends with a record instead of a crossed-out page.
The portal side of the story — magic-link login, tee times, account balance — lives on Member & Staff Portals.

After the seating
The reservation is just the front door
Because reservations live inside the same platform as the rest of the club, the party that just sat down is already a member the system knows — not a name to re-key.
Seated → served → charged
Once the party is at the table, the meal runs through the same POS as the rest of the club — the ticket, the kitchen routing and the member charge are all on Point of Sale.
Booked as a member, always
Every reservation is tied to a member record from the start — the host stand knows who’s walking in, and the request they typed at booking time is on the reservation, not on a sticky note.
One system to reconcile
No exporting the reservation list from one product into another. Dining sits beside tee times, events and billing in the same ClubCore back office, under the same logins and the same audit trail.
