A BEO that adds itself up

Build the event from line items — menu, room rental, bar, AV, labor. Per-person lines price off the guaranteed count automatically, service charge and tax roll up on top, and the deposit nets out to a live balance. Charge → tax → total → balance, always current.

Every version, kept forever

Save a numbered snapshot of the BEO at any point — an immutable record of exactly what was agreed, with a note about what changed. No overwritten contract, no “which copy did we send them?”

Pricing that locks at invoice

One click posts the event’s balance to the host member’s club account, on the same books as the rest of the club. Once invoiced, line items lock — the number the host signed is the number that bills.

Diff any two versions, field by field

When the host calls to say the count went from 120 to 140 and the bar moved to premium, save a version — then compare it against any earlier snapshot and see exactly which fields moved: counts, lines, percentages, terms. When the invoice conversation happens months later, you’re reading the record, not reconstructing it.

Magic-link signing

A member host signs from their portal; a prospect gets an emailed signing link — no account, no login. Weddings and outings are usually booked by people who aren’t members yet.

Require a club officer to countersign before a contract is fully executed. The request tracks pending, awaiting-countersign and signed states, with staff-sent reminders for overdue signers.

A full audit trail

Every signature event is recorded — who signed, when, and what happened to the request — and the fully executed PDF is there to download when it’s done.
